Moving Phrases Around Now that you have your loan letter back on the Desktop, you can move around in it and insert, replace, and delete information--without having to retype the whole letter. 8 11 60 6 As you look over the letter, you notice some mistakes and some places you'd like to tidy up. Wrap_On 8 12 60 11 First, there's no "t" in "budget," near the end of the first paragraph. (It's our fault; we did the typing.) Your cursor is on the first character in the letter. Here's how to move down to "budge." Press the DOWN arrow until you're on the line with the mistake. 0 11 75 12 Now you could move to the right, one character at a time, with the RIGHT ARROW key. But there's a faster way. You can jump whole words at a time. Here's how to leap over 7 words: Hold down the OPEN APPLE key and press the RIGHT ARROW enough times to reach the word "budge." Wrap_Off 8 14 62 8 That's it. OPEN APPLE speeds up the arrow keys, making the cursor jump a whole word at each keystroke. You're ready to make that correction now. Wrap_On 11 14 44 9 Your cursor is on the "b" in "budge." Now we need to move to the trouble spot. Type t t Wrap_Off 8 14 64 9 Let's say you reread the sentence, and decide it will sound better if you write "our budget, and our prospects." You don't want to keep "the" in there, so you're going to replace it with "our"--the same number of characters. Wrap_On 8 10 64 9 AppleWorks allows you to replace characters instead of deleting, then inserting. But you need a different cursor, the strikeover cursor. To get the strikeover cursor, Hold down OPEN APPLE and press E (to exchange cursors). E 8 10 62 12 You've changed the cursor into a solid rectangle, so from now on, whatever you type replaces what was there before. But you want to leave the comma and the word "and." To skip ahead without replacing anything: Press the RIGHT ARROW seven times. 25 15 41 7 Now you can replace "the" with "our." Type: our our 10 10 60 12 There. You've replaced "the" with "our" and nothing else has had to move to make room. To continue editing your letter with the Insert Cursor, all you have to do is use the OPEN APPLE-E combination, to switch the cursor back into a blinking underline. Hold down OPEN APPLE and press E. E Wrap_Off 4 13 68 10 The cursor changes into a blinking underline, which means that you can now insert text. But what if you want to erase something? For instance, consulting your notes, you see that the loan officer didn't ask for your payroll. Wrap_On 4 13 72 8 You need to delete the phrase "and our payroll" in the second paragraph. First go to that line. Press the DOWN ARROW four times. 8 13 64 9 Good! You're on the right line. Now, to jump back two words, to the beginning of the part you want to delete, you can use the OPEN APPLE-LEFT ARROW combination. Hold down OPEN APPLE and press the LEFT ARROW three times. 11 14 54 8 Good. You don't want to end a sentence with that comma, so let's get rid of it right now. Press DELETE twice. Wrap_Off 6 14 53 8 DELETE pulls the text back to fill the gap left by the deleted characters. You use DELETE any time you want to delete a character to the left of the cursor. Wrap_On 11 14 62 9 There's another way to delete that's more efficient when you have several words, or whole paragraphs. To delete the words "and our payroll," Hold down OPEN APPLE and press D D 3 14 74 10 The little blots show where you pressed RETURN. The high- lighting on the "a" indicates where your deletion will start. To extend the highlighting across the two words "and our" Hold down OPEN APPLE and press the RIGHT ARROW key until both words are highlighted. 3 12 72 9 Let's say you decide you don't like the sound of the next sentence, either. And when you change one number, the electronic Spreadsheet will recalculate everything else for you. This means you can dream up a lot of "What If?" situations without having to redo all your math. 9 6 62 12 In this lesson, we'll introduce you to the AppleWorks Spreadsheet. Here's the scenario: You're working in the best bakery in town. And business is so good you're applying for a bank loan to build a new kitchen. The loan officer has asked how many of your new Organic Pies you think you're going to sell over the next few months. MainMenu 9 10 62 14 You've already been playing with the figures, so now all you have to do is call up the spreadsheet. It's out on your disk. To bring it into the computer so you can work on it, you start with the Main Menu. You want to add a file to the Desktop. That option is highlighted, so all you have to do is Press RETURN. AddMenu 9 0 62 9 There are a lot of ways to add files to your electronic Desktop. But since you want to get a file from a current disk, and that option's already highlighted, all you have to do is Press RETURN. AddFiles 4 0 71 10 There's the list of files on your disk. AppleWorks organizes them by type, then alphabetically within type. The one you want --Organic Growth--is down at the bottom. To get there Press the DOWN ARROW until Organic Growth is highlighted. 6 0 68 10 Great! Now you've highlighted Organic Growth, the spreadsheet on your new line of super-natural, no-sugar, all-organic pies. To tell AppleWorks that's the one you want, Press the RIGHT ARROW once, to choose the file. 2 0 75 9 The arrow points to the file you're after. (You can also use the RIGHT ARROW to point to several files you want brought onto your Desktop at once. Here, though, you're just after one file.) Press RETURN to have AppleWorks fetch the file. Then we'll show you how to move around in it. Once you get oriented, you'll be able to toy with the figures for your premier Organic Pie, the Yogurt Yummy. 4 11 68 13 Let's start with the labels. Labels are words, usually describing what the numbers are about. Here, there's one for the whole spreadsheet ("Mom's Apple Pie Company: Growth in Organic Pie Sales (Projected)"), one for each vertical column ("Oct," for instance), and one for each row, or set of rows ("Yogurt Yummy," for instance). Press RETURN and we'll make some labels flash. FlashLabels 4 15 68 9 A row is numbered, and runs across the page. For instance, the expected sales for Yogurt Yummy over the three months of the quarter--that's a row. Press RETURN to see Row 8 flash. Flash_Row 45 3 32 11 Columns stretch from top to bottom. They're headed with a letter, such as D. October is a column. Press RETURN to see Column D flash. Flash_Column 4 6 68 8 The intersection of a row and a column is a cell. Here, the cursor is in Cell A1--where Column A comes together with Row 1. Press RETURN to see Cell A1 flash. Flash_Cell 4 6 65 9 Whenever you wonder where you are, you can glance down at the cell indicator--on the left, just under the bottom row of hyphens. Right now it says A1. Press RETURN to see the cell indicator flash. Flash_Indicator 4 12 65 8 The number you enter in a cell is known as a value. For instance, 720 is the value in Cell D6. That value is the highest possible number of Yogurt Yummy pies you can expect to sell in October. 9 17 62 7 Sometimes you'll have so many figures on your spread- sheet that you can't fit them all on the screen at once. To get to them, you use the arrow keys. Grid_On 1 10 72 8 For instance, you have the totals for January, February, and March over on the right, just out of sight. To bring them into view, Press the RIGHT ARROW key to move the cursor to Cell L1. Grid_Off 6 13 36 7 You've arrived at the column showing the totals for the six months starting in October. Grid_On 6 10 60 10 Behind these grand totals are formulas that tell AppleWorks what to add up. To see the formula behind one of these numbers, move the cursor to one total, L8. Press the DOWN ARROW seven times to get to L8. Grid_Off 0 11 79 10 Now you can find out how AppleWorks arrived at the total. Look in the cell indicator (bottom left). The @ means that what follows is a formula for figuring out the total. Formulas make one figure grow out of others. That way, when you change the January figure, your six-months total changes automatically. 4 10 70 11 The word SUM means you told AppleWorks to add. But what? The formula @SUM(G8...K8) tells AppleWorks to add the values in cells G8 through K8. (That's 2850+1418+1488+1563). The result of all that adding is in Cell L8. That's 7319. So whenever you want to know the formula behind a value, just look in the cell indicator. Grid_On 0 11 76 9 But now that you think about it, you expect a huge jump in sales around the December holidays. What if you sold 1500 pies that month? To find out, all you have to do is change the figure, back in Cell F8. Use LEFT ARROW to move to Cell F8. 4 10 76 10 Originally, you figured you'd sell 1350 Yogurt Yummy pies in December, bringing your quarterly total to 2850, and, carrying this trend through the next quarter, you came to a six-months total of 7319 pies. To find out what could happen if you sell 1500 pies in December, Type: 1500 1500 1 11 75 10 Notice that the 1500 appears down in the cell indicator, but not in the cell itself. That way you can read the original number while you're typing the new number. And if you don't like what you type, you can cancel it. But you like the idea of selling 1500 pies, so Press RETURN to have AppleWorks put that value into the cell. ReCalc1 Grid_Off 8 11 62 10 The totals change! Your quarterly total leaps from 2850 to 3000, a nice round number. Your loan officer likes round numbers. Part of the fun of AppleWorks' Spreadsheet is imagining possibilities, and having AppleWorks figure them out. 7 7 62 9 Now that you've moved around and played "What If?" with the Organic Pie line, you need to make up another spreadsheet--the budget for the construction of your new plant. AppleWorks wants to know if you're going to make this spreadsheet up from scratch (yes)--or by borrowing some files from other programs. "From Scratch" is highlighted, so Press RETURN. Get_F_Name 48 1 30 17 An arrow points to the option you've picked. And at the bottom, AppleWorks asks you to name this new file you're creating. Because this will be the budget for your new plant, Type: Plant Budget and press RETURN. PLANT BUDGET Show_S_S Grid_On 9 6 62 12 And here's what you get--a brand-new spreadsheet! Your extra-large cursor, the one-column-wide rectangle of light, stands at cell A1, in the upper left-hand corner of the spreadsheet, waiting for you to enter something. Let's enter a label for this first column--expenses. Type EXPENSES in Cell A1 and press RETURN. EXPENSES 13 8 54 10 Good! Now let's skip a column, and put in labels for the four quarters of the fiscal year. Press RIGHT ARROW twice to go to Column C. and type: FIRST FIRST Grid_Off 0 8 75 10 Great! We'll type the rest of the headings, and in the process we'll position them so they line up over the numbers you're going to type in. (You'll learn more about how to lay out your headings in the AppleWorks Reference Manual.) Press RETURN and we'll do the others. You're going to ask AppleWorks to perform a function--addition. The @ sign signals AppleWorks that what comes next will be a function--not a label. In Cell H4, type: @ @ 9 8 62 8 Good! You've told AppleWorks you want it to perform a function here. Which one? Addition. Type: SUM SUM 4 7 74 11 Now that you're ready to add, you need to tell AppleWorks what to add. (That goes in parentheses.) And you don't have to mention specific figures--just the cells whose values you wish to add. That way, if you change the value in a cell, the total will change automatically. Type (C4.F4) and press RETURN. (C4.F4) Grid_Off 4 7 74 11 Instantly, AppleWorks applies the formula, adds up the figures in cells C4, D4, E4, and F4, puts the total in this cell, and displays the formula in the cell indicator. (AppleWorks expands one dot into three, to indicate that there are some cells between C4 and F4.) So if the architect raises his fee in the third quarter, the minute you change that value, AppleWorks will recalculate the total. 9 6 62 14 There now! You've made a fair start at your construction budget. But what's that noise downstairs? Sounds like another fight between your cooks. You know you'll have to go down to make peace. But what if someone comes by and plays with the keys while you're gone? You don't want to lose what you've done. To save your work, Hold down OPEN APPLE and press S (for SAVE). In all these cases, what used to be cut and paste--and tape and redraw and paste again--takes place electronically. In this lesson, you'll find out how. The loan officer wants to know what kind of sales you expect for your new Organic Pie line over the next few months. In your letter, you've set the stage for a spreadsheet showing all that. Now, to put the spreadsheet in your letter, you have to go to it first. You want a quick change of file, so Hold down OPEN APPLE and press Q for Quick. Q CreateMiniMenu 6 0 66 12 Any time you ask for a quick change this way, AppleWorks tells you what other files there are on the Desktop, so you can tell it which one you want to go to. Usually, you'll want to save it on a disk. But sometimes you'll want to throw it away. In this lesson, we'll show you how to do both of these-- the easy way. MainMenu 0 12 80 12 You've finally finished your loan letter. You know that you may have to do some revisions later, so you want a copy on disk. From anywhere in AppleWorks you can get back to the Main Menu by pressing ESC--sometimes several times. Once you're there, you can save your file to disk. To do so, Use DOWN ARROW to select Option 3, then press RETURN. ĥ GetSaveMEnu 6 16 68 8 AppleWorks shows you all the files you brought onto the Desktop, and indicates which ones you've actually changed. The files on the Desktop are copies; the original files are still on disk. But you do need to save the loan letter, because you've made so many changes to it. Press RETURN to select Loan Letter. In fact you're willing to replace the old with the new. So Press RETURN. SaveCarefully 7 0 66 7 When you tell AppleWorks to let the new information replace the old, it does so, while reassuring you that it is carefully saving this file. BackToMainMenu 9 17 66 7 And there you are, back at the Main Menu again. Remember, saving doesn't remove a file from your Desktop. It just makes a fresh copy on the disk. 9 6 62 16 Any time you want to save a file on a disk without going back to the Main Menu, you can do so by holding down OPEN APPLE and pressing S for Save. (This only saves that particular file, and it does so by overwriting the original copy on your disk.) That's the quick way.
